How to edit your cancellation email and configure it as you wish.

How do I configure the booking cancellation emails?

By default, bookingkit sends a cancellation email, with our default template.

However, some of you want to customise the content or the look and feel and you can by using the email editor.

To design emails exactly as you want them, click on the pencil to the left of the description. To access the email editor, navigate to Settings → Email Settings in your Bookingkit dashboard. Then locate the cancellation email and click on the pencil icon beside its description.

The following screen then appears:

You can now edit the content as you wish.

  • You can use our placeholders (1) to give your email a more personal design.

  • Please ensure in Preview (2 & 3) that the email is as you wish, and that it can be sent to your customers in this form

  • Then you initially have to send a test email (4) which will be sent to your bookingkit email address.

  • Only then can you click on Save (5) to definitively activate the custom confirmation email. Please also note that below your personally designed content, a summary of information for the relevant order will still always be visible.

Advanced Customization with HTML and CSS

If you have more specific design requirements, advanced users can make inline adjustments using HTML and CSS features within the editor.

  • Switch to HTML Editing Mode:

    • In the email editor, look for an option to toggle to HTML view.

  • Apply Inline CSS:

    • Modify elements directly by using inline CSS (e.g., for changing company name appearance or specific design details).

Note: This approach may require technical expertise in HTML/CSS. Ensure compatibility with various email clients.

By default the content of the email is:

Hello <Participant Name>,

Unfortunately your experience <Event title on xx.xx.xxx at 18:30-01:00> for <experience operator name> was cancelled.

If you have any questions, please contact us.

Note on the placeholder %Participant name%:

This placeholder refers exclusively to the extended participant entry, as only here are the names of each individual participant queried. If the simplified participant entry is activated for the experience in question, where only the name of the orderer is requested, the content of this placeholder remains empty in the cancellation email.

Limitations and Additional Tips

  • The general color scheme of the email templates cannot be fully customized. However, specific text elements, such as your company name, can be styled using HTML.

  • Always preview your changes to ensure they display correctly.
