As a reseller, your partner may grant you specific permissions in Reach to edit existing orders.

These permissions are granted at the discretion of the partner and may vary between different contracts. This guide explains how to identify and use these permissions effectively, including editing service dates, participant data, and other order details.


Overview of Permissions

The permissions available to resellers for order modifications in Reach are:

  1. Service Date and Participant Data Editing

  2. Order Editing

  3. Order Cancellation

Important Note:

The permissions available to you depend on your contract with each partner. You may notice that some permissions are available for certain orders but not for others, depending on the contract terms.


Viewing Contract Permissions

To see the permissions your partner has granted:

  1. Navigate to the Partners Screen: Go to the list of partners in your Reach account.

  2. Select a Contract: Click on the specific contract you wish to review. This will display the permissions applied by that partner.


Using the Permissions

1. Service Date and Participant Data Editing

This permission has two main components:

a. Service Date Editing

Allows you to change the service date of an existing order before the original service date.

Capabilities:

  • Move the appointment to a new day.

  • Change the time slot (subject to availability).

How to Change the Service Date:

  1. Navigate to the Orders Screen.

  2. Select the Order: Click on the order you wish to modify.

  3. Open the Options Menu: Click on the three dots next to the order.

  4. Select “Move Service Date”: This will open a calendar screen.

  5. Choose a New Appointment: Select an available date and time.

  6. Confirm the Change: Click "Confirm" to finalize. If successful, you will be redirected to the order details page reflecting the update.

b. Participant Data Editing

Allows you to edit, add, or remove participants from an existing order.

How to Edit Participant Data:

  1. Navigate to the Orders Screen.

  2. Select the Order: Click on the relevant order.

  3. Open the Options Menu: Click on the three dots.

  4. Select “Edit Participants”: You will be taken to a new screen to make changes.

Capabilities:

  • Edit existing participant data: Modify participant details collected during the initial booking.

  • Add new participants:

    • Scroll to the section labeled “Add Another Participant Info.”

    • Select the participant category and fill in additional details as needed.

  • Remove participants:

    • Click the trash bin icon next to the participant data to delete them from the booking.

Final Step: Once you are satisfied with the changes, click “Confirm” to apply them. If successful, you will be redirected to the updated order page.

2. Order Editing

This permission allows you to modify general order details after the order has been placed.

Capabilities:

  • Edit order notes.

  • Adjust special requests.

  • Update other non-critical order information.

How to Edit Order Details:

  1. Navigate to the Orders Screen.

  2. Select the Order: Click on the desired order.

  3. Make Edits: Depending on your permissions, modify the available fields.

  4. Save Changes: Confirm and save your edits.

Q: Why don’t I see some permissions for certain orders?
A: The permissions available to you depend on the contract terms set by your partner. Different partners may grant different permissions.

Q: Can I change the service date for any order?
A: You can only change the service date if your partner has provided the necessary permission and the new slot is available.

Q: Is it possible to undo participant data edits?
A: Once confirmed, changes to participant data are final unless additional permissions are granted by your partner to amend them again. However, you manually need to make the old changes.
