Overview of Permissions for Contracts

When a vendor creates a contract with a reseller, they can specify permissions that determine what changes the reseller is allowed to make to orders after they are placed. These permissions are set on a contract level and are immutable once the contract is finalized. To modify permissions, the existing contract must be revoked and a new one created.

Important Note

Once a contract is created, permissions cannot be modified for that specific contract. To make changes, revoke the contract and create a new one. The reseller will need to accept the new contract for it to be valid.

Types of Permissions Available

The following permissions can be assigned to resellers:

  1. Order Editing

  2. Service Date and Participant Data Editing

  3. Order Cancellation


1. Order Editing

This permission allows resellers to edit basic order details after an order has been placed. This could include information such as:

  • Order notes

  • Special requests

  • Other order-related data

2. Service Date and Participant Data Editing

This permission is divided into two key capabilities:

a. Service Date Editing

Enables resellers to change the service date of an order to a new, available date or time slot. This includes:

  • Moving an event to a different day.

  • Changing the time slot (must be a configured slot based on partner rates).

Note: Date changes are only possible if sufficient slots are available for the new time. Resellers can only view and select from the slots that you have configured (based on partner rates).

b. Participant Data Editing

Allows resellers to:

  • Edit existing participant details.

  • Add new participants to an existing booking (subject to partner rates).

  • Remove participants from the booking.

3. Order Cancellation

This permission allows resellers to cancel orders before the service date.


Applying permissions when creating a new contract

Step-by-Step Guide:

  1. Navigate to the Contract Creation Page: Start by accessing the contract creation section in your Reach account.

  2. Select Permissions: Choose which of the available permissions should apply to the contract. The options include:

    • Order editing

    • Service date and participant data editing

    • Order cancellation

  3. Finalize the Contract: Complete the process as usual and send the contract to the reseller.

Note: Selecting permissions is optional and not mandatory for creating a contract.

Bulk Contract Editing

With the introduction of these new permissions, existing contracts can be updated in bulk for a smoother transition. When logging in, vendors will see a pop-up prompting them to apply these permissions to existing contracts.

Options for Applying Permissions:

  • Apply to All Existing Contracts: This option updates all current contracts to include the new permissions.

  • Select Specific Contracts: Choose which contracts to update with the new permissions.

  • Skip Changes: Continue using existing contracts without any modifications, or apply changes only to new contracts.
