HubSpot Activation Guide

Instructions to activate the HubSpot App and connect the data to your bookingkit account.

General Details

The integration with HubSpot allows the push of orders and contact details of each booking from bookingkit to HubSpot.

Costs of Integration

  • By bookingkit: Free

    • bookingkit will not charge any extra fee for activating and running the HubSpot app. This only refers to the fees charged by bookingkit to use this app.

  • By HubSpot: Free

    • HubSpot will not charge any extra fee for activating the connection, but you must be subscribed to any of their plans, including the free plan. This information is subject to change without notice so please refer to the details published on the HubSpot website or contact the HubSpot team for more details.

Data Synced After App Activation

  • From bookingkit to HubSpot

    • Contact and Order Details

      • When a new order is created

      • When a reservation is created

      • When an existing order is cancelled

  • From HubSpot to bookingkit

    • (no data)

Requirements

To be able to activate the integration between HubSpot and bookingkit you must meet the following criteria:

1. Be signed up to the Businesskit or Prokit in bookingkit. Check your current plan and/or upgrade it here.

2. Have an active account with HubSpot. Not using HubSpot yet? Learn more and sign up.

Activation Process

1. On the sidebar menu click on the App Marketplace icon to view the list of Apps available.

2. Look for the HubSpot App and click on the "Learn More" button.

3. Read the details on the HubSpot page and click on the "Activate" button. You must also click on the "Activate" button in the popup that appears to confirm the activation.

4. As soon as the HubSpot App is activated, a new item called HubSpot opens in the left-hand navigation menu. Click on it to continue to the next step.

5. On the page that opens, click on the "Authorize" button.

6. You'll be redirected to HubSpot. If you are not logged in yet you'll be asked to enter your login details to access your account.

7. Choose your account from the list of accounts available (in case you have more than 1 account in HubSpot) and click on the "Choose Account" button.

8. You'll be asked to confirm the connection with bookingkit. To do that, click on the "Connect App" button.

9. The request will be processed and you'll be redirected to bookingkit. The page will show that the app is successfully connected.

10. The activation is completed!

Syncing Past Orders Manually

To manually sync past orders from bookingkit to HubSpot please follow the instructions below.

1. Click on the HubSpot app in the left-hand navigation menu.

2. Under the Manual Synchronisation section, enter the date range that you want to include in the manual sync.

Important: Note that if any orders included in the date range selected don't include an email the syncing will fail.

3. While the sync is being processed you'll see the note "In progress" under the Your Sync History section.

4. Wait a few seconds and refresh the page. In case the sync is successful you'll see the message "Success" under the Your Sync History section.

5. Go to your HubSpot account and under the Contacts page you will see all of the new contacts imported from your bookingkit account.

Customising Order Template

To customise the content of the order details pushed to HubSpot, including the order of the items, the labels and the language of the content, please follow the instructions below.

1. Click on the HubSpot app in the left-hand navigation menu.

2. Under the Template Settings section, click to expand the details.

3. In this section you are able to do the following:

  • Change the language of the note.

  • Change the order of the items in the note.

  • Translate the labels of each of the items in the note.

Important: At the moment it is not possible to add new items to the note.

4. Once you make the changes click on the "Save" button. All new orders pushed to HubSpot will start showing the Note with the updates.

Additional Information

1. Once activated bookingkit pushes the email and other contact details of new orders to HubSpot automatically, but the email and contact details of each of the participants included in the order is not pushed.

2. The experiences included in the order are pushed as a Note and appear under the Contact entry in HubSpot. The data is currently all in a single field. If you want more flexibility, you can use our Zapier integration. This allows you to link each bookingkit data point to a separate field in Hubspot.

3. Updates to experiences included in orders, such as cancellation of experience, inclusion of new experiences or changes of total amount, are not pushed to HubSpot as new Notes. Only changes to the status of the order are pushed as new Notes.

Important: bookingkit forwards the email and contact information to HubSpot for every order, irrespective of whether the customer chooses to opt in or opt out of marketing. You must ensure you collect consent from users for any marketing activities. For more details refer to HubSpot guidelines.
